Privacy policy
Last updated 2026-08-25. This policy explains what Rapid Reserve Studies LLC collects, why, and what we do not do with it.
Who we are
Rapid Reserve Studies LLC prepares reserve studies for community associations. We are based in Littleton, CO and work with associations and management companies nationally. You can reach us at [email protected] or +1 (303) 305-9955.
What we collect
When you request a proposal. The form asks for your name, email address, phone number, the association's name, its city and state, the property type, and the unit count. If you give us a website we keep that too. We ask for these because they are what a reserve study proposal requires: the scope and the price depend on the size and type of the community, and we need a way to send you the proposal.
When you become a client. We collect the documents and information needed to prepare the study: budgets, prior reserve studies, governing documents, component information, site photographs, and contact details for the people we coordinate with.
When you contact us. Emails, text messages and calls are recorded in our system so that whoever picks up your next call can see what was already said.
Prospect information from public sources. We identify associations from public records, including state corporate registries, and from information published on association and management company websites. If we contact you and you have never heard of us, that is where we found you.
Call recording
We record calls so that what was discussed and agreed is on the record rather than in somebody's memory. Colorado, where we are based, is a one-party consent state. Where the person we are speaking with is in a state that requires all parties to consent, we announce the recording at the start of the call or do not record it. If you would prefer not to be recorded, say so and we will stop.
What we do with it
We use your information to prepare and deliver proposals and reserve studies, to communicate with you about work in progress, to send invoices and collect payment, and to keep the records a professional services firm is expected to keep.
We do not sell your information. We do not trade or rent contact lists, and we do not share client information with other associations or management companies.
Who we share it with
We use a small number of service providers to run the business, and they see only what their function requires:
- Cloud hosting and storage. Our systems and your documents are hosted with established infrastructure providers.
- Email and telephone. We use commercial email and telephony services to send and receive messages and calls.
- Payment processing. Card and bank payments are handled by Stripe, our payment processor. We do not store card numbers or bank account numbers on our systems.
- Bank account information. When you pay by bank transfer, Stripe asks you to connect your account. With your authorisation, Stripe shares with us a tokenised reference to the account, the name and address of the account holder, and the account balance at the time of payment. We use this to confirm the account belongs to the association we are working for, and to reduce the chance that a transfer is returned unpaid after we have started work. We do not receive your online banking credentials, and we do not request your transaction history. We do not use this information for lending, for credit decisions, for marketing, or for any purpose other than collecting payment for services you have engaged us to perform, and we do not sell it. Stripe's own handling of this information is governed by its privacy policy.
We also disclose information where the law requires it, and where it is necessary to establish or defend a legal claim.
Marketing email and text messages
We send outreach email to associations and management companies. Every message includes an unsubscribe link and our physical mailing location. Unsubscribing removes the address from our sending list permanently rather than for a campaign, and we keep a record of the request so it is not undone by a later import.
Where we text, replying STOP stops the messages and HELP gets help. Message and data rates may apply, and how often you hear from us depends on what is happening with your account: fewer than 10 messages a month. Texts are account and service messages about your request and any study that follows, never marketing, and consent to them is not a condition of buying anything from us. We do not sell or share phone numbers collected for text messaging with third parties for their own marketing.
Cookies and tracking
This site uses Google Ads conversion tracking. Google's tag (gtag.js) loads on every page and sets Google's own advertising cookies. When you submit the proposal or facility assessment form successfully, the tag records that a conversion happened, which is how we know an advert led to an enquiry. It does not record what you typed into the form.
We also record page views and form submissions ourselves. That record is first party: it goes to our own server, not to a third party, and it carries the page, where you arrived from, and the campaign tags in the link. Your session, approximate location and device type are worked out from the request itself. No advertising identifier and nothing you type leaves the page with it.
Web fonts are loaded from Google Fonts, which means your browser makes a request to Google to fetch them.
This section describes what the site does today. It said the opposite until 2026-08-31, when the Google tag was added and this policy was not updated with it; the correction is recorded here rather than made quietly.
How long we keep it
Reserve studies and the records supporting them are kept for the life of the professional relationship and afterwards for as long as they may be needed for professional, insurance or legal purposes. Prospect information that does not become a client relationship is kept while it remains relevant to our work. Unsubscribe and do-not-contact records are kept indefinitely, because deleting them would mean contacting somebody who asked us not to.
Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Write to [email protected] and we will respond. Some information cannot be deleted on request: a delivered reserve study and the records behind it are a professional work product, and suppression records exist precisely so they survive.
Depending on where you live you may have additional rights under state privacy law, including in California, Colorado, Connecticut, Utah and Virginia. We apply the choices above to everybody rather than only where a statute requires it.
Children
This is a business-to-business service. We do not knowingly collect information from anyone under 18.
Security
Access to client information is restricted to the people who need it. Documents are stored in access-controlled cloud storage, credentials are held outside the codebase, and connections are encrypted in transit. No system is perfectly secure, and we do not claim otherwise.
Changes
If this policy changes we will update the date at the top. Material changes affecting existing clients will be communicated directly rather than only posted here.
